Headphone, Keyboard/Mouse, and External Webcam Usage Policy

1. Purpose

This policy aims to establish guidelines for the appropriate use of headphones, keyboards, mice, and external webcams in the workplace to ensure productivity, security, and proper maintenance of equipment.

2. Scope

This policy applies to all employees, contractors, consultants, temporary staff, and other workers, including all personnel affiliated with third parties who use or have access to the organization's headphones, keyboards, mice, and external webcams.

3. Policy

3.1 Headphone Usage

  • Business Use: Headphones may be used for business-related purposes such as participating in virtual meetings, training sessions, or listening to work-related audio.
  • Safety Considerations: Headphones should not be dashed anywhere after use.  Try to avoid headphone cables twirling
  • Respect for Colleagues: Users should be considerate of colleagues and ensure that headphone use does not disturb others.
  • Reporting Issues: The IT department should be notified immediately of any malfunctioning or damaged Lost Headphones. You can raise a support ticket at https://helpdesk.pateam.co or send an email to techsupport@pateam.co for

3.2 Keyboard and Mouse Usage

  • Proper Use: Keyboards and mice should be used in accordance with ergonomic guidelines to prevent strain or injury. Users should take regular breaks to avoid repetitive strain injuries.
  • Maintenance: Users are responsible for the cleanliness and upkeep of their assigned keyboards and mice. Regular cleaning should be performed to prevent the buildup of dirt and germs.

3.3 External Webcam Usage

  • Business Use: External webcams are to be used for business-related purposes such as virtual meetings, conferences, and webinars.
  • Privacy Considerations: To maintain privacy, users must ensure that webcams are turned off when not in use. Webcams should be positioned to avoid capturing confidential information or private areas.
  • Security Measures: Users must ensure that webcam software and drivers are kept up-to-date to prevent security vulnerabilities. Only organization-approved webcams and software should be used.

3.4 Care and Maintenance

  • Cleaning: Users should regularly clean their headphones, keyboards, mice, and webcams using appropriate cleaning materials. To prevent damage, avoid using liquids directly on these devices.
  • Replacement: Pateam provides employees with headphones, a mouse and keyboard, and a webcam. If any of these items are damaged or broken within six months, the employee will be subject to a penalty.
  • Replace Low Power Cell: If you find a low-power cell on the keyboard, immediately replace it with a new one.

3.5 Access Control.

  • Access Control: Headphones, keyboards, mice, and webcams should not be shared among users without proper authorization to ensure accountability and prevent the spread of germs.

4. Responsibilities

  • Users: Responsible for the proper use, maintenance, and reporting of issues with headphones, keyboards, mice, and webcams.

5.  Review and Revision

This policy will be reviewed annually and revised as necessary to ensure its effectiveness and compliance with relevant laws and regulations.
